Vendor Registration Policy

Guidelines, eligibility criteria, and the onboarding process for vendors and suppliers who wish to work with Advertising Architect.

1. Purpose

This Vendor Registration Policy outlines the principles and procedures governing the registration, evaluation, and onboarding of vendors and suppliers who wish to provide goods or services to Advertising Architect.

The policy ensures that all vendors meet the company's standards for quality, compliance, ethics, and operational capability.

2. Scope

This policy applies to all prospective and existing vendors, suppliers, manufacturers, distributors, and service providers engaged by Advertising Architect for:

  • Supply of household products
  • Supply of consumer durable products
  • Marketing, advertising, and promotional services
  • Logistics, warehousing, and distribution services
  • Technology, design, and web branding services
  • Any other goods or services required for business operations

3. Eligibility Criteria

To be considered for registration, a vendor must meet the following minimum requirements:

  • Be a legally registered entity under applicable laws of India or the relevant foreign jurisdiction
  • Possess valid tax registration (GST, VAT, or equivalent) where applicable
  • Maintain a track record of supplying similar goods or services for at least two years
  • Demonstrate financial stability and operational capacity
  • Comply with all applicable labour, environmental, and safety regulations
  • Have no record of fraudulent or unethical business practices
  • Agree to the terms and conditions of Advertising Architect

4. Registration Process

The vendor registration process consists of the following steps:

  • Application: Vendor submits a completed registration form along with required documents.
  • Document Verification: Advertising Architect verifies submitted documents and credentials.
  • Evaluation: The vendor's capabilities, quality standards, pricing, and delivery terms are assessed.
  • Approval: Approved vendors are added to the approved vendor list.
  • Agreement: A formal agreement or purchase order terms are executed before commencement of work.

5. Required Documents

Vendors must submit copies of the following documents during registration:

  • Certificate of incorporation / business registration
  • GST / tax registration certificate
  • PAN / TAN or equivalent tax identification
  • Bank account details and cancelled cheque
  • Product catalogue or service portfolio
  • Past client references or work samples
  • Quality certifications, if applicable

6. Code of Conduct

All registered vendors are expected to:

  • Conduct business with honesty, integrity, and fairness
  • Maintain confidentiality of all proprietary information
  • Deliver goods and services as per agreed specifications and timelines
  • Comply with applicable laws and regulations
  • Refrain from offering bribes, gifts, or undue advantages
  • Report any actual or potential conflicts of interest

7. Suspension & De-registration

Advertising Architect reserves the right to suspend or remove a vendor from the approved list in cases of:

  • Non-compliance with agreed terms and conditions
  • Repeated failure to meet quality or delivery standards
  • Fraudulent practices or misrepresentation
  • Violation of applicable laws or this policy
  • Failure to submit updated documents when requested
